| Sports Base Online Event Director ServicesSports Base Online is a little different that other registration services out there. We build the registration page for you based on a flyer of website your provide. Within 24-48 hours we will send you a link to review for your event. After event directors create their profile the first time, they are able to login at anytime using their email address and password. All the events that they have listed are accessed by clicking on the MY EVENTS link at the top of the page. Sports Base Online provides the highest level of both email and phone support. Event Directors can email or phone at any time. Our standard is a maximum of 30 minutes to get a response between the hours of 7:00 am and 7:00 pm mountain standard time. After these hours the promoter will get a response first thing the next day. Sports Base Online staff will take information from a flyer or website and set the event up for online registration. We will continue to monitor the event for activity from the time the event is first posted to the final event payment and post event survey listing. - Release Forms - these can be printed at the time online registration for the event closes. These are sorted first by category and then by athlete last name. There are three different files from which to choose:
Distinct by Athlete - this is when you only want to print a release form for each athlete that is pre-registered into the event. Distinct by Bib Number - this will print release forms for each distinct bib number assigned to the athletes. Blank - blank release forms can be printed with just the event information listed. These are formatted to make data entry easy. - Event Summary - Sports Base Online provides a real time event summary that the promoter can access at any time to see event activity. This summary includes the number of athletes, by category, that are currently entered as well as a financial report of funds collected and/or paid.
- Pre-Event Survey Answers - If a promoter needs specific information pre-event, questions can be posted for registered participants responses that the promoter can view or print at anytime.
- Manual Entry - If a promoter offers mail-in registration, we provide a simple and fast entry tool to add them into the race database. You can do this by using the athlete's USA Cycling License number or by typing in the athlete information if they do not have a current license number.
- Excel Athlete List - This list is downloaded in a standard Excel format and includes all the information about each rider who has been entered into the database either by registering online or manually entered.
- Phoenix Tech Athlete List - This is a shorter version of the full list and can be used as a start list for officials and race announcers.
- Post Event Manual Entry - You are able to add athletes into the database with the same tools used for manual entries post event. This allows the promoter to work with just one database for the event.
- Bib Number Assignment - Promoters are able to add bib number assignments to athletes prior to the event. By using this tool, the bib numbers are printed on the release form and also show up in the real time Athlete Registered Rider List.
- Promoter Email Service - The promoter can email the athletes who have registered both online or manually (provided the manual entries have included an active email address).
- Event Information Update - The promoter can login and update the race information using the promoter tools. This includes: changing the field limits; adding or changing license numbers; adding or changing team names; and, providing update messages that appear on the Information Page.
- Results Entry - Sports Base Online provides a simple interface to add results into the race database after the event has occurred following post event manual entry (see 7. above). This will allow the event results to be forwarded, in the proper format, to USA Cycling for inclusion in the National Ranking Program.
- Post Race Event Survey - Following the event, the promoter can elect to post an event survey to collect pertinent information about their event. The promoter provides the questions, which Sports Base Online will set up under the event. Results can be viewed online or printed.
All events are paid in full, less online registration fees, the Monday after the event has occurred. Event directors can request a draw on their account, up to 80% of the total collected, for events where over $2,500.00 in entry fees are processed. All payments are processed on Monday.
